Price = [ (burdened labor/man-hr + overhead/man-hr) × man-hours + materials at cost ] ÷ (1 − margin)
Two rules make this one formula instead of two. First, every hour is a man-hour — one person for one hour — so a two-person crew on a 30-minute lawn books one man-hour, and labor, overhead and your final rate all use that same unit. Second, materials go in at cost, inside the divisor. Dividing by (1 − margin) already prices the profit on them, so you never add a separate materials markup on top. Most operators who “lose money on jobs” are missing one of the three boxes — usually burden or overhead. The rest of this guide fills in each box with your own numbers.
Most lawn care prices are set by looking at the competition and guessing. That works until fuel jumps, a mower dies, or you hire your first employee — and suddenly a full schedule pays like a part-time job. This guide is the method: build a per-man-hour rate from your actual costs, estimate man-hours with production rates, and apply a real margin. Find Your True Hourly Labor Cost
The wage you pay is not what an hour of labor costs you. Add payroll taxes, workers’ comp, paid time off and the hours the crew is on the clock but not cutting grass, and an $18/hr employee costs $24–$26/hr. That 30–45% gap is called labor burden. If you price off the raw wage, you have already lost the job’s profit before the truck leaves the shop.

Workers’ comp is the line that moves most. The NCCI classification system puts maintenance of existing lawns and grounds in code 9102 (“Park NOC — All Employees & Drivers”) and installation work in code 0042 (“Landscape Gardening”), which rates higher. Rates are filed state by state and are not national: agency quotes for 9102 commonly land near $3 per $100 of payroll, but the same code costs multiples of that in high-loss and monopolistic states. Use the rate on your own declarations page, not a published average.
Solo operator? Pay yourself a real wage in this step ($25–$35/hr is typical) and burden it at ~20% for self-employment tax and health insurance. “I don’t pay myself so my labor is free” is how owners end up earning less than their crew leader. Turn Overhead Into a Per-Man-Hour Number
Overhead is everything you pay whether or not you mow today. Divide it by the hours you can actually bill so every job carries its share. One rule for the whole page: every hour on this site is a man-hour — one person working for one hour. A two-person crew on a lawn for 30 minutes burns one man-hour, not half of one. Overhead, labor and the final rate are all quoted per man-hour, so they add up cleanly:

Note the billable hours. Two people on the clock 8 hours a day rarely bill more than 6 each once you subtract loading, drive time and the dump run — that is 12 billable man-hours a day, 2,400 over a 200-day season. Most operators overestimate billable hours by 20–30%, which quietly under-recovers overhead on every job. A small maintenance company usually lands somewhere between $12 and $25 of overhead per billable man-hour; treat that as a sanity check on your own arithmetic rather than a target, and if you come out far below it, hunt for costs you forgot. Build Your Per-Man-Hour Rate
Now stack the two numbers. Both are per man-hour, so they simply add. The result is your break-even cost for one hour of one person’s work — before any profit:

At a 30% margin (÷ 0.70) that becomes a $64.17 billable man-hour rate. A two-person crew burns two man-hours for every hour on site, so the same crew needs about $128/hr on the clock — the crew rate and the man-hour rate are the same number, counted differently.
Before you compare that to a published rate, check the unit. Our lawn care pricing guide quotes $45–$65/hr for a solo operator and $60–$85/hr with a crew — those are per hour on site, and they describe the common case of an owner working alongside one helper with paid-off equipment. This example sits above that band on purpose: a fully burdened two-man crew in a higher-cost market, carrying a truck and trailer payment plus owner admin time. Per man-hour, most residential maintenance companies land at $55–$75, and commercial crews with bigger decks bill $45–$60 because their production rates are higher. If your fully-loaded number comes out above what your market pays, the fix is fewer man-hours per lawn — tighter routes, bigger decks — not a lower rate.

Time the Job With Production Rates
A man-hour rate is useless without an honest hour count. Pros estimate time from production rates: how much area one machine covers in an hour. The standard formula is (deck width in feet × ground speed in mph × efficiency) ÷ 8.25 = acres per hour. The table uses 80% efficiency, which accounts for overlap and turns on a typical property.

Mowing is only half the visit. On a typical ¼-acre lot the 48" mower needs about 6 minutes of actual cutting, but trimming, edging and blowing add 12–18 minutes. Track each task separately for two weeks on your own routes; your numbers will beat any published chart. Elapsed minutes on site for a two-person crew, including trim, edge and blow. Double them to get man-hours before you price: 25 minutes on site is 0.83 man-hours. Add 20–30% for slopes, heavy obstacles or overgrown first cuts.
Apply Profit: Markup vs. Margin
Both methods work — they are the same arithmetic run in opposite directions — and plenty of good operators price by adding a percentage on top. Our lawn care pricing guide does exactly that when it says to add 15–25% for profit. The catch is the unit. Markup is a percentage of cost; margin is a percentage of price. Add a “30% markup” to a $100 cost and you get $130, but the margin you actually kept is 23%. Neither number is wrong — they just answer different questions, and the trouble starts when you set a markup while thinking in margin. We use the margin form on this page because the target you care about (“30 cents of every dollar stays”) is stated in the answer rather than backed into: divide by 0.70 instead of multiplying by 1.30. Add 15–25% as the guide suggests and you keep 13–20%.

Margin on what? The gross-margin benchmarks quoted around the industry are usually measured after direct labor and materials but before overhead. Because this method already loads overhead into the man-hour rate, the margin you apply here is closer to net profit — and it covers materials too, which is why materials go into the formula at cost and never carry a second markup on top. 15–20% net is healthy for maintenance; below 10% and one blown hydro pump wipes out the season.

Per-Square-Foot and Per-Acre Shortcuts
Once your man-hour rate and production rates are dialed in, unit pricing is just a shortcut for quoting over the phone. The band you see published — our lawn care pricing guide quotes $0.01–$0.05 per square foot for mowing, and most national estimators agree — is real, but it is anchored on small lots, where a $40–$60 stop minimum spread over a few thousand square feet does all the work. The rate per square foot falls fast as the lawn grows:

Cross-check against the per-visit chart, not just the per-square-foot band: a ¼-acre lawn at $0.004–$0.008 comes out at $44–$87 a visit, which brackets both the $40–$60 that guide shows for that size and the $65 our worked example produces below.
When unit pricing fails
Slopes and obstacles
A terraced 8,000 sq ft yard can take twice as long as a flat one. Square footage doesn't see hills, fences, trampolines or 40 trees to trim around.
Gated backyards
If your 48" mower can't get through the gate, the backyard gets cut at 21"-push production rates — often 4× slower.
Sparse routes
A per-sq-ft rate that works with 8 lawns on one street loses money when the next stop is 25 minutes away.
First cuts and overgrowth
Overgrown grass mows at half speed and may need double-cutting or bagging. Quote first cuts at 1.5–2× your normal rate.

Minimum Charge, Drive Time & Route Density
The formula prices the work. These three rules price the logistics — and they are what separate a route that nets 20% from one that nets 5%.
Set a stop minimum — most crews use $40–$60
Every stop costs you unloading, loading and invoicing time regardless of lawn size. At $44.92 per man-hour, a two-person crew costs $89.84 for every hour on site, so a 15-minute stop burns half a man-hour — about $22 before the first blade of grass is cut. A $30 postage-stamp lawn is a loss even at “good” per-sq-ft rates. Price tiny lawns at the minimum, not the formula.
Charge for drive time — in the price, not on the invoice
Average your windshield time per stop (10–15 minutes is typical for a dense route) and bake it into hours. A customer 20 minutes outside your route needs a price 30–50% higher — or a polite “we’re not in that area yet.” Quoting them your in-route price buys you a weekly loss.
Price to build density — discount clusters, not strangers
Ten lawns on two adjacent streets can out-earn fifteen lawns scattered across town. It’s rational to quote a neighbor 10% under formula to eliminate a drive leg — and to door-hanger the houses around your best accounts. A two-person crew burns 2 man-hours for every hour on site, so an hour of that crew costs $89.84. Materials go in at cost and ride through the same margin divisor — no separate markup.

That $65 sits just above the $40–$60 per-visit band our lawn care pricing guide shows for a ¼-acre lawn, because this example is a fully burdened two-man crew in a higher-cost market rather than an owner and a helper. So if the going rate on that street is $50, don’t drop your price — tighten the route, get the lawn done in fewer man-hours, or walk away. At $50 this job pays a 10% margin, which one rained-out week erases.
8 Pricing Mistakes That Kill Margins
Copying competitor prices
The guy charging $35 may have paid-off equipment, no insurance, or no idea he's losing money. Roughly half of all new US employer businesses are gone by year five — BLS Business Employment Dynamics tracks about 49% still open at the five-year mark, across every industry — and pricing is a common cause of death. Your costs are the only floor that matters.
Pricing off raw wages
Quoting from $18/hr labor when the burdened cost is $24.12 per man-hour hands away a quarter of your labor budget on every job before profit.
Confusing markup with margin
Adding 30% when you meant to keep 30% leaves you at a 23% margin — about 7 points short on every invoice. Pick one convention and stick to it; this page divides by (1 − margin).
Ignoring drive time
A 25-minute one-way drive to a $60 lawn makes it a $60 job that consumes 1.3 hours of crew time — 2.6 man-hours with two people aboard. Bake windshield time into your hours or decline out-of-route work.
No minimum charge
Small lawns priced by the square foot don't cover the fixed cost of a stop. Set a $40–$60 floor and hold it.
Never raising prices
Fuel, insurance and wages rise every year; a rate frozen since 2023 is a silent pay cut. Raise 5–10% annually at spring renewal — expect to lose 2–5% of customers and come out ahead.
Quoting complex jobs on the spot
Mowing you can price at the curb. Cleanups, installs and grading deserve a measured walk-through and a written estimate — verbal ballparks become binding in the customer's memory.
Discounting without removing scope
If a customer needs a lower number, take something out (biweekly instead of weekly, skip edging) rather than cutting your rate. A discount with full scope reprices every future job.
